The course I'm doing explains how to use the access functions well, but doesn't explain which functions shall be used for each situation or how to go about designing the DB for my intended use case. What access functions I will need to utilize to set up the different functionalities I will need etc. I need guidance on how I should be approaching this, what tables I should set up, what specific things I should learn in order to carry out what I wanna do. I've been doing a course on udemy trying to learn about access but I feel like I've spent so much time on that course and haven't gained much knowledge or information about how to carry out the task at hand. It's a long list of requirements and in my eyes it seems like a huge task. Machine location transfer history - Site to site, site to store, store to site (To include details per transfer such as current hours reading, current fuel level reading).Current Operator & Operator Assignment History with dates.Vehicle Registration Status (Vehicles are subject to yearly license renewal).Entry forms for new database entries (Parts, Part Types, Equipment, Suppliers, Service Routines etc).Material Release Form (tied to approved Service Request).Material Delivery Form (Tied to issued Material Order).Vehicle Registration & Insurance Reports.Consumption Reports (Filterable per machine/supplier/part & filterable based on date).Tracking price of parts based on quotations and keeping historic price records per part.Creation of weekly/monthly Order List from different suppliers based on consumption.Track In/Out of Parts/Lubes tied to orders/deliveries/requests - Inventory to be used mainly for regular maintenance parts not repair items/tires.To include ability to specify which tires (Front Left, Rear Right etc) are changed, dates changed, tire price history per machine Tire Change - Requests, Approvals, & History.Repairs - Requests, Approvals, & History.Miscellaneous Maintenance Requests - Approvals, & History (Items excluded from regular service i.e A/C maintenance).Minor/Intermediate/Major Service - Requests, Approvals, & History.Weekly Vehicle Checkup Logs & Warn about upcoming service based on latest machine hours reading.I would like the core processes of my DB to help me do the following: This allows us to keep an updated vehicle reading in order to plan for upcoming minor/intermediate/major services. We conduct a weekly checkup for all equipment where they are greased and meter reading recorded. Note: One additional minor service is required between the intermediate and major service.Įach service routine involves changing different parts, listed in tblEquipmentParts (a junction table that links PartNumber from tblParts and VehicleSN from tblEquipment). We have 3 service routines for each piece of equipment, Minor (250 Hours), Intermediate (500 Hours), Major (1000 Hours). Every piece of equipment has a routine maintenance schedule that varies depending on the reading. I will base my explanation on the image below.Įquipment, unlike vehicles, have their usage measured in hours not miles/kilometers. Here is the relationship map that I have developed thus far. I am hoping that this exercise will provide me with the skills needed to start optimizing our data management in other departments such as HR & Procurement. I’ve decided to tackle our equipment maintenance first, just because I’m very familiar with the processes involved and I know I can create a robust database for this activity. I know Access probably won’t match a fully fledged ERP, however we are still a small company and I think we can address 90% of our problems using access. I’ve tried so hard to get them to invest in a proper ERP, however they don’t seem like they’re gonna get behind that idea anytime soon. ![]() Part of me hates it because I miss the site, but also because our company processes run mostly on emails and paperwork. I work for my family construction business, and after a few years of doing some site work and getting some experience, I’m back at the office. ![]()
